Job Overview: Key Responsibilities and Purpose

As a Senior Administrative Officer, you will provide essential oversight and support for the administration of human settlement beneficiaries. Your primary tasks will involve managing title deeds, overseeing conveyancing processes, and ensuring compliance with the National Housing Needs Register (NHNR) for Regions 1, 3, and 6 in Tshwane. Additionally, you will contribute to consumer education initiatives, helping residents better understand their rights and responsibilities in housing matters.

What You’ll Need to Qualify:

To be considered for this position, you must meet the following criteria:

  • Matric (Grade 12): A foundational requirement for all applicants.
  • Relevant Experience: At least two years of hands-on experience in the administration and conveyancing of human settlement beneficiaries. Supervisory experience will be advantageous.
  • Driver’s License: A valid Code B driver’s license is required.
  • Computer Literacy: Proficiency with computers is essential for this role.

Primary Functions of the Senior Administrative Officer

  • Overseeing Beneficiary Administration: You will manage all processes related to housing subsidies, title deeds, and conveyancing, including filing and record preservation.
  • Verification and Inspections: You’ll conduct inspections of housing projects and work on-site as needed.
  • Data Collection and Reporting: Compile accurate statistics and reports by collaborating with administrative authorities and conducting field inspections.
  • Supervision of Administrative Officers: You’ll oversee the daily tasks of your team, ensuring that all duties are performed efficiently and within set deadlines.
  • Public Inquiries and Complaints: Handle walk-in inquiries and complaints from the public, ensuring that issues are resolved in a timely manner.

Additional Duties and Responsibilities

Apart from core duties, the Senior Administrative Officer will also be responsible for:

  • Logistics and Administration: Manage the creation of household files and municipal service accounts for beneficiaries and customers.
  • Allocation Process Management: Ensure that all necessary forms are completed accurately, and required documentation is submitted on time. Collaborate with the Joint Allocations Committee and provincial government as necessary.
  • Notification of Beneficiaries: Notify approved beneficiaries in a timely manner and ensure the Master of the High Court receives referral letters for deceased beneficiaries.
  • Rejection Notifications: Inform rejected beneficiaries of the reasons behind their rejection and ensure all policies are followed.
  • Team Coordination: Facilitate regular team meetings and attend other meetings as required.
  • Consumer Education Initiatives: Conduct consumer education initiatives within your area, helping residents stay informed about housing matters.
