Role Responsibilities:

  1. Client Cards Processing
    • Create and load client cards as per the specified Standard Operating Procedures (SOP).
    • Ensure all cards meet quality standards before distribution.
    • Coordinate delivery calls initiated by the call center.
    • Follow up with operations to ensure timely and accurate card delivery.
    • Communicate card shipment updates to clients via email.
    • Maintain accurate records of waybill numbers for traceability.
    • Provide regular updates to clients until successful card delivery.
  2. Email and Telecommunication Management
    • Monitor and manage incoming emails promptly.
    • Respond to client queries and requests efficiently.
    • Organize and categorize emails for easy retrieval.
    • Ensure all email communications comply with company policies.
    • Use email rules and filters to manage inbox effectively.
    • Regularly review and clean up the email inbox.
    • Collaborate with team members on email-related tasks.
    • Resolve technical or email delivery issues promptly.
    • Update email distribution lists as needed.
    • Maintain confidentiality and security of sensitive information.
    • Manage the cardless process and attend to phone and mobile communication platforms.
  3. General Inception Duties / Standing in for Team Members
    • Take over ongoing responsibilities and projects of absent team members.
    • Respond to critical emails and messages on behalf of the absent team member.
    • Attend meetings and provide updates on the absent team member’s tasks.
    • Address urgent issues related to the team member’s duties.
    • Coordinate with other team members to ensure workflow continuity.
    • Prioritize tasks based on the absent team member’s responsibilities.
    • Communicate temporary changes to relevant stakeholders.
    • Document decisions and actions taken during the stand-in period.
    • Collaborate with the team to meet project deadlines.
    • Provide updates and handover information upon the team member’s return.
  4. Standard Operating Procedures (SOP)
    • Adhere to company policies to safeguard business information, including:
      • Information Security Policy.
      • Acceptable Use Policy.
      • Crisis Management Plan.
      • Password Criteria.
      • Information Security Roles and Responsibilities.
    • Disseminate safety information as required.
    • Follow Inception Procedures and Policies.
    • Adhere to G4S Deposita’s Clean Desk Policy.
  5. Health and Safety
    • Report safety incidents to relevant parties.
    • Discuss safety incidents at all levels.
    • Follow up on tasks assigned by management, safety representatives, or committees.
    • Comply with workplace safety regulations and guidelines.
    • Disseminate safety information as needed.
