Job Overview

The Road Accident Fund (RAF) is seeking to employ four highly motivated Administrative Assistants (Document Services) to join its dynamic team in Menlo Park, Gauteng. This role is crucial in ensuring the efficient handling and management of documents within the organization. The ideal candidate should have a keen eye for detail, strong organizational skills, and a commitment to service excellence.

Key Responsibilities

1. Mail Processing and Correspondence Management

  • Receive, register, and date-stamp all incoming mail.
  • Sort and classify documents based on destination and urgency.
  • Ensure accurate and efficient distribution of mail across RAF departments.
  • Scan and digitally archive important correspondence.
  • Maintain compliance with the RAF’s document management policies.
  • Prepare and verify outgoing mail, ensuring correct postage rates.
  • Track and manage registered and Docex mail.
  • Declare and register received funds in compliance with financial protocols.

2. Indexing and Scanning of Documents

  • Conduct indexing, scanning, and electronic filing of incoming documentation.
  • Ensure that correspondence from senior officials is verified before scanning.
  • Use document classification techniques to streamline retrieval processes.
  • Maintain and operate scanning and binding equipment.
  • Ensure scanned documents are correctly released to SharePoint and indexed accurately.

3. Records and Archiving Management

  • Ensure proper filing of all documents in compliance with company policies.
  • Retrieve and archive documents as required by internal departments.
  • Conduct searches on MOSS and SharePoint for specific records.
  • Maintain a clear record of processed and archived documentation.

4. Banking Indemnity Form (BIF) Processing

  • Capture and verify data entered into the Banking Indemnity Form (BIF).
  • Ensure compliance with BIF regulations to mitigate fraud risks.
  • Liaise with internal stakeholders to facilitate timely payments to claimants and suppliers.
  • Monitor turnaround times to meet critical deadlines.

5. Equipment and Infrastructure Maintenance

  • Ensure that mailroom and document processing equipment are well-maintained.
  • Provide updates on the franking machine’s operational status and money loading procedures.
  • Report technical issues related to equipment to senior officers or administrative managers.
  • Affix tracking labels on registered mail and ensure proper handling.

  • Knowledge of RAF Operations is an added advantage.
