Job Overview: Key Purpose and Role Objectives – Road Accident Fund

The Administrative Assistant will play a crucial role in providing support to the Officer, Senior Officer, and Team Leader. This support is designed to help streamline processes, improve efficiency, and ensure the department’s smooth functioning.

Key Responsibilities and Duties

1. Compliance and Administration Support

  • Maintaining Records: Update and keep current all records related to departmental operations.
  • Policy Verification: Ensure adherence to RAF procedures and policies.
  • Internal Controls: Stay informed on business objectives and internal standards to ensure compliance.

2. Office Coordination and Workflow Management

  • Follow-Up on Issues: Assist in tracking and resolving outstanding issues within the team.
  • Timely Request Processing: Ensure all department requests are addressed promptly.
  • Stationery and Supplies: Monitor and restock department supplies as needed.
  • Data Verification: Confirm that submitted documents and data are accurately recorded and processed.
  • System Maintenance: Keep all registers and tracking systems up-to-date.
  • Duplication Checks: Review for any duplicate records, requests, or inquiries.
  • Task Assignment: Delegate tasks to appropriate team members.
  • Correspondence: Draft and distribute official letters as necessary.

3. Meeting Coordination and Support – Road Accident Fund

  • Meeting Setup: Schedule and arrange departmental meetings.
  • Minute Taking and Distribution: Record minutes and distribute them according to established protocols.
  • Pending Matters Tracking: Develop a registry to monitor pending actions.
  • Follow-Up on Resolutions: Keep a record of meeting resolutions and track unresolved matters.
  • Diary Management: Organize and confirm meeting schedules for team members.
  • Appointment Scheduling: Arrange meetings with both internal and external stakeholders.

4. Document and Records Management

  • Records Compliance: Follow RAF’s filing guidelines and manage records accurately.
  • Filing System Maintenance: Keep the filing system organized and up to date.
  • Information Retrieval: Retrieve information efficiently when requested.
  • Confidentiality: Ensure controlled documents are securely stored and shared only with authorized personnel.
  • Document Processing: Receive, file, and assign reference numbers to documents; ensure data is properly entered into the system.

Qualifications and Skills Required-Road Accident Fund

Minimum Qualifications

  • Grade 12 / Matric certificate is required.

Experience

  • Minimum of one year of experience in an administrative or similar role.
