The Road Accident Fund (RAF) is seeking a dedicated and detail-oriented Administrative Assistant to provide essential administrative support within the Offer Management department. Key Responsibilities and Duties
1. Compliance Administration
- Maintain accurate and up-to-date written records of departmental operations.
- Ensure compliance with organizational policies, procedures, and regulatory guidelines.
- Stay informed about company objectives and internal governance to uphold effective internal control measures.
- Support adherence to legal and regulatory requirements.
2. Office Coordination and Operational Support
- Assist in tracking and following up on pending departmental issues to ensure timely resolution.
- Process and respond to all internal and external requests within designated timeframes.
- Manage departmental supplies, ensuring the availability of essential stationery and resources.
- Verify, validate, and correctly process submitted documentation and data.
- Maintain and update registers and record-keeping systems.
- Identify and report duplicate documents, requests, or inquiries to ensure data integrity.
- Assign reference numbers and log documentation accurately across multiple platforms.
- Delegate tasks to responsible team members effectively.
- Draft and distribute correspondence, including formal letters, as required.
3. Meeting and Event Support
- Coordinate and schedule meetings for the department, ensuring smooth logistics.
- Take accurate minutes in compliance with governance standards and distribute them accordingly.
- Maintain a register for tracking pending issues and meeting resolutions.
- Organize follow-up schedules for meeting outcomes and outstanding concerns.
- Manage team members’ calendars, ensuring meetings are confirmed and scheduled appropriately.
- Arrange appointments with internal and external stakeholders as needed.
4. Document and Records Management
- Administer records in alignment with the Road Accident Fund’s official filing plan.
- Maintain an up-to-date and well-organized document management system.
- Retrieve information efficiently to support office operations.
- Uphold confidentiality by ensuring documents are accessed only by authorized personnel.
- Receive, acknowledge, and properly categorize documentation within the digital and physical filing system.
- Assign file numbers, enter data accurately into the system, and maintain an orderly archive.
Minimum Qualifications and Experience
Education Requirements:
- Matric or Grade 12 Certificate.
Experience Requirements:
- Minimum one (1) year of experience in an administrative role or a comparable office environment.
