The University of the Witwatersrand is seeking an experienced Assistant Administrator to support the administrative functions related to the School’s research activities. This is a vital role for ensuring the efficient and accurate handling of all research documentation, staff management, and communication across the institution.
Primary Responsibilities
As an Assistant Administrator, your key responsibilities will include:
- Supporting Research Documentation: Ensuring that the results of the School’s research are properly recorded and documented to meet the Department of Higher Education and Training (DHET) subsidy requirements. This task involves a meticulous approach to detail, ensuring accuracy in all reporting.
- Monitoring Active Research Staff: Assisting in tracking the progress of active research staff within the School, ensuring that all ongoing research is properly managed and reported.
- Facilitating the Ethics Application Process: Working closely with the School’s research teams to assist with the application procedures for research ethics approvals, coordinating with the central and faculty research offices to address any research–related queries.
- Administrative Support for Postgraduate Research: Providing administrative assistance to academic administrators, especially concerning postgraduate research matters such as mark entry, while also managing any inquiries to ensure they are directed to the correct personnel.
Key Competencies and Skills
The successful candidate must demonstrate a combination of knowledge, skills, and behaviors critical to the role, including:
- Familiarity with University Systems: Proficiency in systems such as Ulwazi/LMS, ROCS, SIMS, and AMS is essential for managing the administrative aspects of research.
- Analytical Tools Proficiency: Experience with Google Scholar, Scopus, and other analytical tools is necessary for supporting research activities effectively.
- Understanding of DHET Research Outputs Policy: A good grasp of the DHET research outputs policy is crucial for ensuring that research documentation meets regulatory standards.
- Report Creation with Microsoft Office: The ability to compile detailed reports using Microsoft Office applications, paying close attention to detail.
- Effective Communication Skills: You must possess excellent communication skills across email, phone, and in-person interactions to liaise effectively with various departments and individuals.
- Knowledge of Ethics Application Procedures: Understanding how to navigate and facilitate the ethics application process is a critical part of this role.
- Experience with Reference Management Software: Familiarity with electronic reference managers will be beneficial for assisting in research documentation.

Front Desk Management
In addition to research support, the Assistant Administrator will also be responsible for the overall coordination of the School’s front desk or reception area. This requires excellent organizational and interpersonal skills to ensure smooth daily operations.
Qualifications and Experience Required
- Minimum Education: A Matric certificate is essential, while a diploma is highly desirable.
- Experience: A minimum of one year of administrative experience is required. Experience in a university setting will be a strong advantage.
