Duties and Responsibilities-Admin Clerk

As an Admin Clerk in the Loss Control department, your primary responsibilities will involve managing important documentation and ensuring that all procedures are followed in the event of a reported loss. Your duties will include:

  • Managing Documentation: You will be responsible for receiving, sorting, and recording documents related to loss incidents. You will verify whether a file is new or existing and distribute the necessary documents to the appropriate officials.
  • Ensuring Completeness: It will be your responsibility to inspect the documents and information received to ensure that they are complete. This includes making sure all required reports and forms are attached, such as the loss control form, trip authority, police report, case number, and driver’s statement.
  • Follow-Up on Missing Information: You will follow up on any outstanding issues to ensure that all documentation is in order.
  • Closing Stolen Vehicle Contracts: If a vehicle is reported stolen, you will be responsible for closing the contract of that vehicle on Gfleet’s FIS (Fleet Information System), updating the status of stolen or recovered vehicles, and following up with ICT if necessary. You will also compile monthly reports on the progress of these cases.

This role requires a keen eye for detail, strong organizational skills, and the ability to work independently in a fast-paced environment.
