Key Responsibilities of a Registry Clerk

The role of a Registry Clerk is vital to the smooth functioning of the Department’s administrative processes. Successful candidates will be expected to perform the following duties:

  1. Managing the Registry System
    • Oversee the registry by ensuring an efficient and organized filing system.
    • Handle the opening and closing of files as required and ensure proper filing of documents.
    • Ensure that documents are properly disposed of when necessary, in line with government regulations.
  2. Maintaining a Client/Service Provider Database
    • Establish and maintain a comprehensive database for clients and service providers.
    • Ensure that the information is up-to-date and easily accessible when needed.
  3. Processing Submissions
    • Responsible for receiving, screening, and noting all submissions.
    • Ensure that submissions are forwarded to the relevant parties, such as the Minister or other departments for processing.
  4. Correspondence Management
    • Handle various forms of communication by gathering, sorting, acknowledging, and responding to correspondence.
    • Send and track communication to ensure follow-ups are completed on time.
  5. Additional Duties
    • The Registry Clerk may also be required to carry out other administrative tasks as directed by supervisors.
